Reserving Facilities for PTAs in WCCUSD

What Bayside Council Does in the Background

The Bayside Council of PTAs provides the following items to the West Contra Costa Unified School District for all unit PTAs in WCCUSD:

  1. Certificate of Insurance
  2. Endorsement to the Certificate of Insurance
  3. Addendum to Facilities Use Agreement
None of these items need to be submitted by individual school PTAs in WCCUSD.

Throughout the year, the Bayside Council of PTAs provides the following updated items to the West Contra Costa Unified School District for all unit PTAs:

  1. List of Units in Good Standing
  2. List of Presidents, Co-Presidents, and Executive Vice Presidents of Units

What the Unit PTA Does to Reserve a Facility

To reserve a facility, the President, Co-President, or Executive Vice President (preferably the same officer for each unit should reserve facilities throughout the year):

  1. Obtains a Facilities Use Form from the Facilities Use Department, the school, or online
  2. Crosses out the "personally responsible" clause and annotates this "per PTA agreement"
  3. Fills in the rest of the WCCUSD Facilities Use Form
  4. Submits the form within 10 working days of the event to the Facilities Use Department
The Facilities Use Department can then check the information provided against the updated unit and officer lists provided by Bayside Council PTA.
